Apply for a vendor number

ICBC's supplier system is a payment system that allows vendors to direct bill and provides convenience for customers, the supplier and the corporation.

All ICBC suppliers agree to comply with the requirements outlined in the ICBC Claims Procedures for Material Damage (MD) partners, and applicable procedures and instructions published on the ICBC Business Partners Page. Facilities who are interested in becoming ICBC suppliers must be able to demonstrate compliance with these procedures. The Claims Procedures details all supplier requirements, direct payment conditions, responsibilities of the supplier and the conditions under which a supplier number may be withdrawn.

Vendor application process (includes change to address, legal and "doing business as" name)

All MD applicants, including upholstery, sound equipment, and detailing facilities must provide the following:

  • CL174 - Material Damage Vendor Number - Trade Application (all owners must sign)

  • CL174M - Vendor programs privacy checklist

  • ACG364 - Authorization for direct deposit if not currently on direct deposit or if there is a change in banking information (must be returned with a copy of a void cheque)

  • $85 + GST ($89.25) application fee (only applies to new applications, ownership changes or legal name changes)

  • Copy of Central Securities Register showing breakdown of voting shares (for incorporated companies only), may be requested

  • Copy of Current Business Licence - with correct business types listed, correct operating name and facility address. If outside city limits, a business licence not required letter from Regional District stating that your business is permitted to store damaged vehicles (if they are a tow company) & land is zoned correctly for your business type

  • Copy of Current Garage Policy with correct Legal and dba name (if applicable), and mailing, facility/office address and storage location if different

  • Commercial General Liability Policy (this is part of the building insurance) showing minimum coverage of $2,000,000 per occurrence, minimum $5,000,000 general aggregate (max paid in a policy period) and names ICBC as an additional insured - include page with name & address & page with coverage amounts, must list facility and office address if different

  • Digital photos of the following:

    • Exterior signage consistent with operating name

    • Customer parking

    • Customer entrance and reception area

    • Customer accessible washroom

    • Work area

    • Tools & equipment​

Please note: In most cases of a legal name change a new facility and account number will be assigned.

The following suppliers must also provide additional documentation:

​In addition to the above-noted documentation, please provide the following:

  • Canadian Trade Qualifications for all technical employees; (provide the certificates relevant to your line of business)

    • Automotive Painter & Motor Vehicle Body Repairer: (Metal & Paint) (Automotive Collision Repair Technician: For facilities that do paint & body work.

    • Heavy Duty Equipment Technicians: For facilities that maintains, manufactures, overhauls, reconditions and repairs equipment powered by internal combustion engines or electricity and without limiting the foregoing, including graders, loaders, shovels, off-highway tractors, off-highway trucks, forklifts, wheeled and tracked vehicles of all types used in construction, logging, sawmill, manufacturing, mining and other similar industry.

    • Transport Trailer Technician: For facilities that maintains, rebuilds, overhauls, reconditions, and does diagnostic trouble shooting and repair of commercial trailers.

    • Truck & Transport Mechanic: For facilities that maintains, rebuilds, overhauls, reconditions, and does diagnostic troubleshooting of motorized commercial truck, bus, and road transport equipment.

    • Any apprentice certificates and/or registration agreements

  • CL174L – Commercial Claims (Heavy Equipment)

  • Digital photos of exterior signage, office area, work area including tools & equipment

  • A/C Retrofit certificate (must have at least one certificate in shop) if your facility does recycling, charging and handling of refrigerants and retrofitting of vehicles from R-12 to R-134a refrigerant.

  • HRAI (CFC Emissions) certificates if your facility services automotive air conditioning systems or perform 134A retrofits. All employees that perform this function must have certificate.

In addition to the above-noted documentation, please provide:

  • Canadian Trade Qualifications for all technical employees;

  • Automotive Service Technicians: perform preventative maintenance, diagnose problems and repair vehicle systems including engines, vehicle management, hybrids, steering, braking, tires, wheels, drivetrains, suspension, electrical, electronics, heating, ventilation and air conditioning (HVAC), restraints, trim and accessories of automotive vehicle and light trucks with a gross vehicle weight less than 5,500 kg.

  • Any apprentice certificates and/or registration agreements

  • CL174K - Mechanical Tool and Equipment Requirements

  • Digital photos of exterior signage, office area, work area including tools & equipment

  • A/C Retrofit certificate (must have at least one certificate in shop) if your facility does recycling, charging and handling of refrigerants and retrofitting of vehicles from R-12 to R-134a refrigerant.

  • HRAI (CFC Emissions) certificates if your facility services automotive air conditioning systems or perform 134A retrofits. All employees that perform this function must have certificate.

In addition to the above-noted documentation, please provide:

  • Canadian Trade Qualifications for all technical employees;

  • Motorcycle Mechanic (Motorcycle and Power Equipment Technician): diagnoses, repairs, adjusts and replaces engines, drive trains, suspension and electrical systems on small to medium sized power products.

  • Any apprentice certificates and/or registration agreements

  • Digital photos of exterior signage, office area, work area including tools & equipment

​In addition to the above-noted documentation, please provide the following:

  • Canadian Trade Qualifications for all technical employees;

  • Recreational Vehicle Service Technicians: work on systems and components of recreation vehicles, including electrical components, plumbing, propane gas components, appliances, exterior and interior components, structural frames and towing systems. They diagnose, repair, replace, install, adjust, test, maintain and modify these components and systems. They may also perform maintenance and repairs on trailer frames and running gear. They must be knowledgeable about each system's function and the interaction among various systems.

  • Any apprentice certificates and/or registration agreements.

  • Digital photos of exterior signage, office area, work area including tools & equipment

  • A/C Retrofit certificate (must have at least one certificate in shop) if your facility does recycling, charging and handling of refrigerants and retrofitting of vehicles from R-12 to R-134a refrigerant.

  • HRAI (CFC Emissions) certificates if your facility services automotive air conditioning systems or perform 134A retrofits. All employees that perform this function must have certificate.

In addition to the above-noted documentation, please provide the following:

  • Digital photos of exterior signage, office area, work area

  • Copy of Temporary Substitute Motor Vehicle Agreement (TSMVA)

​In addition to the above-noted documentation, please provide the following:

  • CL174J - Towing and/or Towing & Recovery Plus

  • Registration papers for each tow vehicle

  • Motor Vehicle Safety Inspection Certificates for all vehicles with a licenced gross vehicle weight greater than 8,200 kg

  • Provide digital photos of:

    • Each tow vehicle front, side & back showing licence plate, company name & unit number

    • Storage area, showing the fencing, razor wire atop fencing and callout information. Photos must show that entire storage area is secure (base towing)

    • Exterior signage (including call-out information), office area (must be on-site), storage area including fencing (including 12" razor wire atop), exterior lighting, uniforms. Photos must show that entire storage area is secure (towing and recovery plus facilities)

Please note: ICBC will ensure with the city's bylaw department, the Regional District and/or the Agricultural Land Reserve to ensure that your business is permitted to conduct business and store damage vehicles on the property

Disclaimer

The accurate completion of the repair estimate and the provision of safe, proper repairs are the foundation of the supplier number system. The onus is on the supplier to ensure that the invoice submitted is an accurate account of the work completed. If ICBC cannot trust the accuracy of the invoices submitted or the quality of the work performed, ICBC will not allow the supplier to continue to be part of the direct billing system.

ICBC reserves the right to immediately withdraw a supplier account number if the supplier fails to meet or maintain the minimum supplier requirements.​
